CSR 2021 | Summer Camp Update 1 - Summer Camp Kick-Off Scheduled for Saturday, February 13

  • The 2021 Leader Guide and 2021 Family Guide will be posted to the camp website on February 13, 2021.
  • All forms will be updated by Saturday, February 13, 2021.
 
Summer Camp Kick-Off Meeting
  • We will host our summer camp kick-off meeting on Saturday, February 13, 2021.
  • Because of COVID-19, the meeting will be outside under a covered porch and limited to 25 people.
  • To accommodate demand, we will meet twice – once in the morning and once in the afternoon.
  • The meeting start times are 9:00 am and 1:00 pm.
  • Both sessions will be streamed live on Facebook (no special link required).
  • The meeting will be held at the Shiloh Presbyterian Church, 2638 Grand Oaks Blvd #8143, Burlington, NC.
  • We will meet at the Troop 4019 Scout Hut.
  • Both sessions will be live streamed on Facebook (no special link required).
  • Please RSVP by 11:59 pm on Thursday, February 11, 2021 using this link
  • If you, as the unit point of contact, are unable to attend, feel free to send another representative.
  • For COVID-19 mitigation purposes, we ask that units limit the number of in-person attendees to 1. Multiple people are welcomed to participate in the Facebook live stream.
  • If you are unable to attend, a hard copy of the 2021 Leader Guide will be mailed to the address you provided on the campsite reservation form.
 
Camp Fee
1.For Summer 2021, the summer camp fee will be $350.
2.There is no increase in the camp fee from 2020 to 2021.
3.The camp fee is all-inclusive and covers the cost of all merit badge supplies with two exceptions: Exception 1: for Scouts who choose to complete the CPR for the Professional Health Provider certification (CPro), at summer camp, as part of the BSA Lifeguard, the CPro fee is an additional $50. Exception 2: for those Scouts who choose to complete the ATV PowerSports program, the additional fee is $50.
4.The early bird fee will be $330.
5.Campers who make a $110 deposit by Thursday, March 11, the early bird deadline, receive a $20 discount on the total camp fee.
6.Camp Payment Schedule
a.Payment 1: $115 due Thursday, March 25
b.Payment 2: $115 due Thursday, April 22
c.Payment 3: $120 due Thursday, May 27
7.Late fee: $10. After Thursday, May 27, a $10 fee will be added to the registration fee.
8.NOTE: All Scouts who transition from Cub Scouts to Scouts BSA after the March 11 early bird deadline or join your unit as a new Scout after the March 11 early bird deadline will receive the lowest fee available. They will be subject to the $330 early bird fee.
9.The Provisional fee is $375.
10.The Day Camper fee is $175.
11.Remember that camperships are available for Scouts for who the camp fee may be a barrier to attending summer camp. Typically, camperships cover at least one-third of the camp fee. The campership deadline is Thursday, April 22.
12.Camperships are available to in-council and out-of-council units. Camperships for out-of-council units will not exceed 1/3 of the camp cost - $110. The deadline is Thursday, April 22.
13.The adult leader fee is $145.
14.The early bird fee does not apply to adults.
 
 
Local Membership Requirements for Adults Spending the Night at an Old North State Long Term Camp (Summer Camp or Winter Camp)
  • In December 2019, the Old North State Council Executive Board took action to increase the safety of Scouts camping at Cherokee Scout Reservation
  • Effectively immediately, any adult who spends at least one night while accompanying a Scouting unit to a long-term camp activity, sponsored by the Old North State Council or any of its agents, must be a registered member of the Boy Scouts of America with a completed criminal background check and completed mandatory Youth Protection Training.
  • This local policy supersedes the national policy that requires adults who are staying in camp for more than 72 hours be registered members of the Boy Scouts of America with a completed criminal background check and completed mandatory Youth Protection Training
  • Take action now to register the adults who plan to attend summer camp with your unit as members of the Boy Scouts of America.
  • You may register adults who are attending summer camp only as Scouter Reserve. This position requires a background check and current Youth Protection, but does not require Introduction to Outdoor Leader Skills and does not impact your unit’s adult leader training rating.
 
BSA Releases New Annual Health & Medical Record
  • For Summer 2020, the BSA provided an extension for medical form expiration dates because COVID-19 inhibited many Scouts and adults from obtaining a physical.
  • The BSA has already stated, that it WILL NOT provide an extension on medical form expiration dates for Summer 2021.
  • Everyone will be expected to have a current medical from to participate in summer camp.
  • We will work to provide opportunities for Scouts to obtain a physical prior to summer camp.
  • The BSA recently updated the health form
  • Starting in 2021 only the health form labeled 2019 printing can be used
  • Remember, all people attending summer camp must have a current health form at the health lodge

CSR 2020 | Cherokee Summer Encampment Registration Opens

Cherokee Scout Reservation is excited to offer Cherokee Summer Encampments as an opportunity to support your troop’s summer outdoor program and provide Scouts with an opportunity for advancement and fun outside.
 
Think if Cherokee Summer Encampments as a unit camping trip with access to summer camp programs, trained staff, and facilities for Saturday’s adventure.
 
COVID-19 Mitigation
The mindset outlined below is essential to our COVID-19 mitigation plan for the weekends.
  • Priority 1: Reduce mixing of groups as much as possible
  • Priority 2: Maximize space between groups as much as possible
  • Priority 3: Reduce use of shared spaces/equipment as much as possible
  • You can review the COVID-19 mitigation plan for the weekends on the Encampments FAQ page.
  • The three priorities listed above directed the development of the weekend schedule and program delivery.
  • We also attempted to provide access to merit badges/programs that units may not be able to do without camp support.
 
Registration
Cherokee Summer Encampments are available for four weekends for units:
1.July 10 – 12
2.July 17 – 19
3.July 24 – 26
4.July 31 – August 2
 
Cherokee Summer Encampments are available to Day Campers for four weekends:
1.     Saturday, July 11
2.     Saturday, July 18
3.     Saturday, July 25
4.     Saturday, August 1
 
Scouts may attend more than one encampment weekend.
 
Cost
  • The weekend costs $90.
  • There is a $25 program fee for ATV PowerSports.
  • For your fee, Scouts can expect plenty of outdoor fun, a merit badge program, a limited-edition camp patch (2020 summer camp patch), time with your troop, an awesome campfire show, and a trained and energetic camp staff.
  • The fee is the same for unit camping and day campers.

Registration & Merit Badge Enrollment Process
1.     Unit leaders will register the troop using the DoubleKnot links posted above.
2.     We are using DoubleKnot to collect payment and additional information such as campsite preferences and desire to participate in the OA call-out ceremony on Saturday night.
3.     Once unit leaders submit payment via DoubleKnot, Camp Director Bud Harrelson will receive an email.
4.     At this point, Bud will activate your unit in Summer Camp Systems - the online tool we use to manage merit badge enrollment.
5.     Once your troop is activated in Summer Camp Systems, you can enroll your Scouts in merit badges.
6.     Bud will alert you via email once you have been activated in Summer Camp Systems.
7.     This is not an automated process. There will be some delay between paying on DoubleKnot and having access to Summer Camp Systems.
8.     Units will be activated in Summer Camp Systems in the order in which they pay on DoubleKnot.
9.     Day Campers will indicate their merit badge preferences during registration on DoubleKnot.
10.  Bud will enroll day campers in merit badges.
11.  Merit badge enrollment confirmation will be sent to day campers via email.
 
Campsite Selection
  • When the unit leader registers the troop on DoubleKnot, they will list the unit's top three choices for campsites.
  • The camp leadership will do its best to honor the unit's wishes, but may not be able to.
  • Campsite assignments will be made to increase the distance between units.
  • All campsites feature electricity and running water. All campsites have a shelter (sizes vary). All campsites are close to a shower house.
 
OA Call-Out Ceremony
  • The OA will conduct a call-out ceremony as part of the Saturday closing campfire.
 
Other Camping Opportunities for Summer 2020
  • If your unit is interested in reserving Cherokee Scout Reservation beyond the timeframe of the weekend encampments, you are welcomed to do so.
  • Several units have inquired about reserving the camp for a week or extended weekend between encampments.
  • Everyone is welcomed to do so. Facilities usage fees will apply. Program staff will not be available.
  • If you are interested in reserving CSR for weekday use, please contact Bud Harrelson (bud.harrelson@scouting.org) directly.
  • Units are also encouraged to consider Hemric Scout Reservation, Hagan Sea Base, Woodfield West, and Woodfield Cub World for week-long, weekend, and extended weekend camping.
  • Units can reserve space at Hemric, Hagan, and Woodfield by submitting a facilities use request form.

CSR 2020 | Scouts BSA Summer Camp 2020 + UseLetter 11 – Summer Camp Cancelled + Announcing New Camping Opportunities

It is with great sadness and disappointment that we announce the cancellation of Summer Camp 2020, at Cherokee Scout Reservation, due to continued decreases in participation.
 
With the reduced participation and lack of payments, we do not have the cash in-hand to pay our bills; therefore, we cannot successfully operate camp.
 
Please share this information with your Scouts, leaders, and families.
 
Full refunds of all fees paid will the processed within the next thirty days. Unit leaders do not need to take any action regarding refunds.
 
We will refund the full amount paid via check. Refund checks will be mailed on Friday, July 3. For in-council units, refund checks will be mailed to the Scoutmaster. For out-of-council units, refund checks will be mailed to the address on file.
 
Memorabilia pre-orders: Memorabilia has been ordered. Some has arrived at camp. We will send memorabilia orders to the unit leader for distribution to the unit.

Cherokee Summer Encampments
  • Cherokee Summer Encampments allow units and Scouts to enjoy Cherokee Scout Reservation’s facilities and program during a weekend setting.
  • Units may camp for the weekend.
  • Scouts may come as day campers.
  • The fee is $100.
  • Scouts may participate in one activity/merit badge on Saturday.

  • We will offer a winter camp the week between Christmas and New Years in 2020.
  • Scouts will arrive on the afternoon of Sunday, December 27.
  • Scouts will depart at the end of program on Wednesday, December 30.
  • Scouts will have the opportunity to participate in at least three merit badges/activities.
  • Merit badge and activity offerings include, but are not limited to:
    • ATV PowerSports ($25 program fee)
    • Muzzle Loading Shooting
    • Wilderness Survival – with a winter season spin
    • Search and Rescue
    • Scouts BSA Pistol Shooting
    • Electronics
    • Drafting
    • Engineering
  • The fee will include meals starting with supper on Sunday, December 27 through lunch on Wednesday, December 30.
  • Scouts may come with their unit.
  • Scouts may come as Provisional campers.
  • Scouts will need a current medical form, Parts A, B, and C.
  • The fee is $165.
  • If payments are paid in full by Friday, November 13, Scouts will receive a $15 discount.

Refund Process
 
Paid online using a credit card: We will refund the amount paid, minus convenience fees, to the credit card on file. Refunds will be processed by Friday, June 12.
 
Paid using a check, cash, or multiple methods: We will refund the full amount paid via check. Refund checks will be mailed on Friday, June 19.

2020 Summer Cub Family Campout – July 17-19, 2020
 
Cub families looking for a Scouting adventure this summer, are invited to attend the 2020 Summer Cub Family Campout July 17-19 at Woodfield Scout Preservation, Asheboro, NC.
 
Throughout the day, Scouts and parents/guardians will participate in archery, bb shooting, STEM activities, crafts, and games. There will be a campfire on Saturday night.
 
The cost is $80 per family (Two parents and two Scouts/siblings) and includes meals starting with Saturday breakfast through Sunday breakfast.

COVID-19 FAQs + Camp Opens June 21

1.Will Cherokee Scout Reservation open for Scouts BSA Summer Camp in 2020?
  • Yes, as part of the Governor Cooper’s plan to re-open NC, overnight summer camps may operate during Phase 2 under specific guidelines.
  • The governor moved NC into Phase 2 on Friday, May 22, 2020.
  • On Thursday, May 21, 2020, the Old North State Council executive board voted to open and operate summer camp as scheduled.
  • Scouts BSA Summer Camp will start on June 21, 2020 and operate for 6 weeks as previously scheduled.
 
2.Will Cherokee Scout Reservation open for Webelos Summer Camp in 2020?
  • This question is unrelated to COVID-19.
  • As communicated with initial promotions of Webelos Summer Camp 2020, for Webelos Summer Camp to operate in 2020, 200 Scouts must be paid in full prior to May 13, 2020.
  • That did not happen.
  • We extended the deadline for Scouts paying in full to May 28.
  • If we have enough Scouts pay the full fee by May 28, we will open Webelos Summer Camp.
  • The COVID-19 information provided here will apply to Webelos Summer Camp as well.
 
3.Who participated in the preparation of your COVID-19 Mitigation Plan?

4.Should the camp be cancelled because of COVID-19, will Scouts receive a refund?
  • Yes, Scouts will receive a full refund of fees paid to date, should summer camp be cancelled because of COVID-19.
 
5.Should a family feel it is unsafe to send their Scout to summer camp, because of COVID-19, will they receive a refund?
  • Yes, families who feel it is unsafe to send a Scout so summer camp, because of COVID-19 will receive a full refund.
  • Refund requests should be submitted by the unit leader to the camp direct.
  • Family members should not contact the camp director or any one at the council office requesting a refund.
  • Refund requests related to COVID-19 should be submitted before or during the unit’s 12-day-out meeting.
  • COVID-19 refund requests will not be considered after this date.
 
6.How will refunds be processed?
  • Unit leaders must submit all requests for refunds to the camp director.
  • Refunds will be made to the payee.
  • If the unit paid via check or cash, a refund check will be written and mailed to the Scoutmaster.
  • If the unit paid with a credit card, a refund will be made to the card on file using the online payment system.
  • For Provisional Campers or Day Campers, refunds will be made to the family.
 
7.My Scout cannot obtain a current physical. Is there any flexibility?
  • Yes, for 6 months only, the BSA has provided flexibility regarding the Annual Health and Medial Record (commonly referred to as the camp physical).
·      This flexibility applies to a health camper – youth and adults.
·      A healthy camper is defined as a youth or adult who does not have any of the COVID-19 co-morbidities provided by the CDC.
·      We understand that physical exams may be difficult to obtain in some parts of the country because of COVID-19.
·      We also realize that this may present a hardship for some participants that typically schedule their physical exams prior to the camping season.
·      In light of COVID-19, the following guidance is being provided and will be in effect until August 31, 2020.
·      Note: Participants that have a valid, completed AHMR Parts A, B & C within 12 months of camp need no exception.
·      Participants with a Part C completed on or after February 1, 2019.
o   Validity of any Part C completed on or after February 1, 2019 is extended until August 31, 2020.
o   Update Parts A and B of the AHMR within two weeks of your departure to camp.

·      Participants with no Part C or one prior to February 1, 2019, including new members.
o   Attach a completed alternate exam (sports, school, annual well exam at pediatrician) completed on or after February 1, 2019.
o   This will be accepted as a valid Part C until August 31, 2020.
o   Update Parts A and B of the AHMR within two weeks of your departure to camp.

·      There will be no other exceptions outside these parameters.
·      If a participant does not meet the criteria above, the following are options to consider to obtain an examination:
o   Telephonic well appointment – Conducted with an individual’s existing health care provider (HCP) to complete the AHMR Part C exam and examiners signature virtually.
o   Professional or Compliance well exams - Adult participants whose profession requires regular well or compliance exams (emergency responders, pilots, etc.) may also be able to complete the exam requirements by having the conducting HCP complete Part C either during those well checks or telephonically.
o   Local Community clinic or alternative HCP - If primary HCP is unavailable, use alternatives/clinics in the local community such as alternate HCP, CVS, Rite Aid, Care Now, etc.
o   Camp well exams - Just in time delivery at front gate of a local council camp – Council organized with volunteer medical providers (MD, DO, NP, PA).
·      We will provide physicals during the Sunday check-in process for Scouts and adult leaders if needed.
o   There may be a small fee associated with these camp physicals.
o   We will not be able to accept insurance.
8.Who should stay at home this summer?
  • Youth and adult campers with a chronic illness or co-morbidity for COVID-19 should not attend camp this summer. The risk factors include, but are not limited to, the following:
    • Age 65 or older
    • Asthma
    • Chronic kidney disease requiring dialysis
    • Diabetes
    • Liver disease (cirrhosis, Hepatitis C)
    • Serious heart conditions
    • Severe obesity
    • Immunocompromised
      • Cancer treatment,
      • Bone marrow or organ transplantation,
      • Immune deficiencies,
      • HIV w/low CD4 cell count or not on HIV treatment, and
      • Prolonged use of corticosteroids and other immune weakening medications
    • Hemoglobin disorders (Sickle cell disease, thalassemia)
 
9.What steps will be taken to mitigate the risk of COVID-19 entering the camp?
  • All people should work under the assumption that once camp opens, COVID-19 will enter camp.
  • Anyone who participates in summer camp activities this summer is at risk of contracting COVID-19.
  • Pre-Screening:
    • All campers, unit leaders and staff members must complete a 14-day pre-screening before coming to camp.
    • During the 14-day pre-screening period, campers, unit leaders, and staff members will track their well-being for any related COVID-19 symptoms and record their temperature.
    • Should the pre-screening protocol identify the individual has symptoms related to COVID-19, the individual should stay home and not attend summer camp.
    • The pre-screening document must be submitted upon arrival at CSR.
  • Pre-event Screening:
    • Prior to departing the unit’s gathering place for summer camp, the unit leaders will conduct a pre-event screening on all people traveling to summer camp – this includes just people who are driving Scouts to camp on that day.
    • The pre-event check list includes asking Scouts if they have experienced any COVID-19 related symptoms and recent exposure to anyone who has tested positive for COVID-19.
    • The pre-event check list requires unit leaders to take the temperature of all people traveling to summer camp.
    • Anyone who is flagged by the pre-event check list, should stay home and not attend summer camp.
    • The pre-event check list should be completed prior to anyone entering vehicles.
    • Unit leaders do not need a special thermometer to take temperatures for the pre-vent screening.
    • Unit leaders should wear gloves while taking temperatures.
    • If a digital, oral thermometer is used, the unit leader should place a protective covering over the probe and disinfect between individuals.
    • Documentation of the pre-event check list must be submitted upon arrival at CSR.
  • Initial On-site Screening:
    • Upon arrival at CSR, all units will be directed to the parking lot.
    • All individuals will undergo another screening using the pre-event check list administered by one of the health professionals related with the camp.
    • The pre-event check list will ask about symptoms related to COVID-19, travel, and recent exposure to any people who have tested positive for COVID-19.
    • The pre-event check list will include a temperature check.
    • Anyone who is flagged by the pre-event check list will be sent home immediately. All people who traveled to camp in the same vehicle with this individual will be sent home immediately. These Scouts and families will receive a full refund.
  • Staff members will follow a similar protocol when they move into camp.
  • All visitors must report to the health lodge upon arrival at camp, to complete the pre-event check list.
  • Any time an individual leaves camp and returns, they must complete the pre-event check list with the health lodge.
 
10.Will there be daily ongoing screening while at camp?
  • Yes, unit leaders will conduct the pre-event screening check list daily with Scouts.
  • The pre-event check list will be completed each morning as part of the unit’s morning routine.
  • Any Scout who feels unwell will report to the health lodge immediately.
  • The health officers will contact our medical professional (medical doctor, nurse practitioner, physician’s assistant) on-call to assist with diagnosis.
  • If the medical professional on-call diagnosis the Scout with COVID-19, the Scout will be quarantined immediately.
  • The Scout’s family will be notified to come pick up the Scout.
  • The Caswell County Health Department will be contacted to conduct a COVID-19 test.
 
11.What are the best ways for a Scout to stay safe during summer camp?
  • Practice social distancing. Always remain 6 feet away from other individuals in camp.
  • Wash or sanitize hands at the beginning and end of all program activities.
  • Wear a face mask.
  • These three strategies will minimize the risk of COVID-19 when groups mix.
  • Report any symptoms or feeling unwell to unit leader and health lodge immediately.
  • Stay in small groups.
  • Interact with Scouts from other units as little as possible.
  • Stay outside as much as possible.
  • Do not allow other Scouts, beside your bunkmate, to enter your Adirondack.
  • Bring your own tent, and sleep alone.
  • Bring a folding chair/camp chair to use during program time to ensure you have a comfortable place to sit while remaining 6 feet away from others.
  • Follow your pre-determined camp schedule.
  • Follow the directions of staff members and unit leaders.
  • Follow the guidance of signage throughout camp.
 
12.Do Scouts need to wear a face mask while at camp?
  • We highly encourage the use of face mask, hand washing, and social distancing while at camp.
  • Scouts should wear a face mask when they are unable to be less than 6 feet apart from other people.
  • Scouts should bring their own cloth face masks that can be washed in between uses.
  • At a minimum, Scouts will need two cloth face masks.
  • Disposable face masks will be available throughout camp.
 
13.Will large group activities be held during camp such as religious services, flag ceremonies, campfires?
  • No large group activities will be held during camp this summer.
  • Flag ceremonies will be held in the unit’s campsite.
  • Flag ceremonies will become the unit’s responsibility to complete.
  • Religious services/vespers will be held in the unit’s campsite.
  • Religious services/vespers will become the unit’s responsibility to complete.
  • Campsites will be clustered in neighborhoods (a group of two or three campsites) for campfires.
  • Campfires will be conducted in campsite large enough for social distancing.
  • Staff members will assist with the implementation of the campfire.
 
14.Will we have family and visitor’s night on Thursday?
  • No, we will not host our traditional family and visitor’s night on Thursdays.
  • Families and non-essential visitors are dissuaded from visiting camp.
 
15.Will Scouts eat in the dining hall for meals?
  • No, Scouts will not eat in the dining hall for meals.
  • Breakfast, lunch, and supper will be served in a grab-and-go style.
  • We will continue to serve meals in two shifts.
  • Scouts will enter the dining hall using pre-determined lines.
  • Scouts will sanitize hands prior to entering the dining hall.
  • Scouts should wear face masks to the dining hall.
  • Scouts will have choice of hot entrees, room temperature items, and cold items for each meal.
  • Staff members will place the Scout’s choices in their lunch bag.
  • Once Scouts select their food choices, they will depart the dining hall.
  • Scouts may eat at picnic tables scattered throughout camp, especially those clustered around the dining hall.
  • Scouts should socially distance when eating meals.
  • We recommend Scouts eat with the same people each day.
  • Camp will provide campers with a reusable water bottle.
  • We will not be able to provide a salad bar option this summer.
  • Scouts will have a choice of pre-made side salad at lunch and dinner.
  • Scouts may want to bring a day-pack to carry their meals back to their campsite.
  • For a rain plan, Scouts will be able to use picnic tables at the Dining Hall Shelter, Anderson Shelter, and Pennington Porch at the Trading Post. Scouts can also carry their meals back to the shelter in the campsite.
  • Scouts should socially distance during meal time.
  • Once our revised menu has been approved by our registered nutritionist partners at the University of Pennsylvania, we will post the revised menu of your review.
  • This process does not impact the support we provide to Scouts with special dietary needs.
  • All camp staff members have completed ServSafe Food Handler certification.
 
16.Will Scouts have increased access to hand washing stations?
  • Yes and no. We have chosen to use alcohol-based hand sanitizer as our primary method to disinfect hands.
  • We will use an alcohol-based hand sanitizer that kills COVID-19.
  • Hand sanitizer will be available in all common areas, program areas, and campsites.
  • Scouts will hand sanitize at the beginning and end of program activities / merit badge sessions.
  • Scouts will hand sanitize upon entering the dining hall.
  • Scouts will hand sanitize during exchanges at the Trading Post.
  • Hand soap will be available at all sinks.
  • Camp will provide hand soap for use at the campsite latrine.
  • Scouts may want to bring their own hand sanitizer.
  • Scouts should use hand sanitizer when returning to their tent.
 
17.How will Scouts sleep at camp?
  • In recent years, the majority of campers have slept in wooden adirondacks with four bunk beds.
  • We use 8’x10’ canvas tents when needed.
  • Adult leaders use 10’x12’ canvas tents.
  • We will adjust the number of Scouts that sleep in adirondacks and tents to allow for social distancing (6 feet apart) when sleeping.
  • For Summer 2020, we will limit the number of Scouts who sleep in an adirondack to two. Scouts will sleep head-to-toe to maximize distance between the campers’ heads.
  • For Summer 2020, we will limit the number of Scouts who sleep in an 8’x10’ canvas tent to one.
  • For Summer 2020, we will continue to allow two Scouts to sleep in 10’x12’ canvas tents. Scouts will sleep head-to-toe or toe-to-toe to maximize distance between the campers’ heads.
  • We highly encourage Scouts and adult leaders to bring their own tent, to allow them to sleep alone, thereby increasing social distancing while sleeping.
  • Scouts should store their personal belongings in a footlocker to keep their items from mixing with their bunkmates’.
  • Scouts, visitors, family members should not enter the Scout’s tent or adirondack.
  • Scouts should disinfect their hands upon entering their tent or adirondack.
 
18.How often will common spaces be cleaned?
  • Common spaces will be cleaned daily using a disinfectant agent appropriate to eliminate COVID-19.
  • Additional camp staff have been hired to assist with need for increased sanitation.
 
19.How often will high touch surfaces be cleaned?     
  • High touch surfaces will be cleaned three times a day.
  • High touch surfaces include, but are not limited to, door knobs, table tops, light switches, countertops, cabinet handles, desks, phones, keyboards, toilets, faucets, and sinks.
  • Shared program area equipment will be cleaned and disinfected before and after each use.
  • We will use a disinfectant that kills COVID-19, but is safe to the environment and sanitation staff.
 
20.How often will shower houses be cleaned?
  • Shower houses, including toilets, faucets, and shower rooms, will be cleaned multiple times daily.
  • It should be noted that COVID-19 is not transmitted through water – drinking water, recreational water, or wastewater.
  • We will use a disinfectant that kills COVID-19, but is safe to the environment and sanitation staff.
  • Units will remain responsible for cleaning campsite latrines.
 
21.How will merit badge instruction/program delivery change due to COVID-19?
  • Campers will complete much of the camp program in their campsite with their unit.
  • Scouts will mix for merit badge instruction.
  • The majority of our program delivery is conducted outside.
  • Scouts and staff will practice social distancing during merit badge instruction.
  • When Scouts cannot practice social distancing, they should wear a cloth face mask.
  • Campers and staff should wear a cloth face mask during indoor activities when maintaining physical distancing is not feasible due to space limitations.
  • We will maintain small group merit badge instruction.
  • To maintain our small groups and force Scouts to socially distance across camp, we will not honor future requests to overfill merit badge sections.
  • To maintain the integrity of our small groups, we will not honor requests for merit badge schedule changes after Sunday evening.
  • Merit badge instructors will remain the same throughout the week.
  • Campers and staff will disinfect hands at the beginning and end of activity.
  • All shared equipment will be cleaned and disinfected between use.
  • When possible, equipment will be designated for a single Scout’s use for the duration of the week.
  • We encourage Scouts to bring a camp chair that can be used during merit badge instruction to ensure they are comfortable while socially distancing.
  • As units will mix for merit badge instruction, the following mitigation methods will be used:
    • Outside instruction
    • Increased natural ventilation
    • Physical distancing during merit badge instruction
    • Campers and staff wear cloth facial coverings
 
22.Will you be able to offer all of the same merit badges?
  • No, based upon recommendations from the Caswell County Department of Health there are some merit badges / program activities we will not be able to offer because we cannot socially distance, implement them safely, or disinfect between uses.
  • These merit badges/activities include:
    • Climbing Merit Badge
    • Lifesaving Merit Badge
    • BSA Lifeguard
    • American Red Cross Lifeguard
    • Small-boat Sailing
    • Blob
    • Glacier
  • This list may change.
 
23.How will Scouts engage in twilight activities?
  • We will no longer offer open-programing at twilight.
  • Units will submit choices for twilight activities.
  • Twilight assignments will be made by the camp program director.
  • Unit leaders may want to consider how they will enhance the unit’s experience by planning activities to entertain the Scouts.
  • These items might include intra-troop competitions, patrol competitions, rank advancement instruction, cracker barrels.
 
24.Will Scouts participate in field trips?
  • No, we will not offer field trips away from camp this summer.
  • We will limit the amount of off-site exposure of staff and campers to the community.
  • This will impact Citizenship in the Nation, Disability Awareness, and Farm Mechanics.
 
25.How does COVID-19 impact operations at the waterfront?
  • The Centers for Disease Control and Prevention (CDC) states “there is no evidence showing anyone has gotten COVID-19 through drinking water, recreational water, or wastewater. The risk of COVID-19 transmission through water is expected to be low.”
  • However, it is important to follow safe physical distancing and proper hygiene practices at the lake.
  • Scouts will maintain social distancing while at changing stations and during merit badge instruction.
  • Scouts will utilize the buddy system while at the waterfront.
  • High-touch surfaces will be disinfected throughout the day.
  • Shared equipment will be cleaned and disinfected between use.
  • Due to the cleaning and disinfecting guidelines provided by the manufacturer, we will not be able to clean and disinfect life jackets between uses. For this reason, Scouts who plan to participate in boating activities (canoeing, kayaking, stand-up paddle boarding) will need to provide their own Type III life jackets.
 
26.How will COVID-19 affect Trading Post operations?
  • We will create partitions between shoppers and cashiers.
  • We will limit the number of shoppers allowed in the trading post.
  • We will place markings on the floor to promote social distancing.
  • High-touch items will be cleaned throughout the day.
  • Scouts will disinfect hands upon entering and exiting trading post.
  • We encourage units to use the online web-store to pre-order merchandise.
  • We will accept touch point cards, Apple Pay and Google Pay for payment.
  • We encourage the use of pre-paid debit cards to reduce the amount of cash transactions.
 
27.Will you change the duration of summer camp?
  • Yes, we will change the duration of summer camp.
  • We will encourage early arrival on Sunday morning to allow for small groups moving into camp.
  • Camp will end Friday night after supper.
  • Units that must travel more than two hours, will stay overnight and depart on Saturday morning.
  • Closing camp on Friday night provides more time for cleaning and disinfecting between sessions/weeks.
 
28.Can Scouts who are participating in the ATV Powersports program, bring their own helmet?
  • Yes, Scouts may bring their own helmets.
  • The helmet must bear the Department of Transportation approval markings, fit snuggly, and fasten securely.
  • Helmets must be full-face in order to protect your face as well as your head.
  • Scouts who bring their own helmets must also bring their own googles.
  • Goggles are required unless you are using a full-face helmet with a built-in face shield.
  • Glasses or sunglasses are not sufficient.
 
29.Are Scouts from other states able to participate in summer camp at Cherokee?
  • Yes, Scouts from other states are able to participate in summer camp at Cherokee.
  • However, in Phase 2 of Reopening NC, the NC Department of Health and Human Services’ guidelines for operating overnight camps, limits the states to those neighboring NC.
  • In a meeting with the Caswell County Department of Health, the public health director interpreted “neighboring states” to mean bordering states.
  • This limits out-of-state participation to Georgia, South Carolina, Tennessee, and Virginia.
 
30.Will there be an international Scout this summer?
  • No, we are not able to host an international Scout this summer due to COVID-19.
 
31.Why are you not requiring Scouts to wear gloves?
  • Scouts are welcome to wear gloves if they want to or if their family wants them too.
  • However, according to the Cleveland Clinic, wearing gloves provides a false sense of security and people end up touching everything.
  • This leads to self-contamination.
  • Instead of wearing gloves, the following steps are recommended:
    • Don’t touch your face.
    • Practice social distancing at all times.
    • Wear a cloth mask and don’t touch the mask once it is on your face.
    • Limit the number of items and surfaces you touch.
    • Sanitize your hands.
 
32.Has the camp visitor’s policy changed with regard to COVID-19?
  • Yes, the camp visitor’s policy has changed due to COVID-19.
  • Historically, we welcome family and visitors to camp.
  • For Summer 2020, we discourage all non-essential visits.
  • We will not host family and visitor’s night.
  • We will not host guest instructors.
  • All visitors must check-in at the health lodge and complete the pre-event check list including a temperature check.
  • If a unit is changing adult leaders during the week, each adult will need to check-in at the health lodge and complete the pre-event screening process. They must also provide evidence of the 14-day pre-screening and symptoms monitoring.
  • Once an individual has checked in to camp, they should not plan to leave the camp.
  • Re-admittance to camp will be on a very limited basis and units should plan accordingly.
 
33.How should units plan to arrive at camp?
  • Units should arrive at camp with as few vehicles and drivers as possible.
  • Each Scout should have access to a seat belt in the vehicle transporting her.
  • There should be a seat between Scouts in the vehicle.
  • For example, the backseat of a car typically seats 3 people. Now, it only seats two people. Leave the middle seat empty.
  • Remember, Scouts should not enter the vehicle until after the unit leader has completed the pre-event checklist.
  • Units will have set arrival times on Sunday for check-in.
  • Best for units to meet at the sponsoring organization and carpool to camp.
  • Please DO NOT have your parents meet you in the parking lot at camp. This will severely impact the new check-in and screening procedures.
 
34.What things are added to the packing list for my Scout because of COVID-19?
  • At least two cloth face masks
  • Camp chair
  • Personal tent
  • Day-pack to carry meals back to campsite (Note: Day-pack should include 10 Scout essentials)
  • Footlocker
  • Personal supply of hand sanitizer
  • Laundry bag that allows clothes to breath
  • Change of clothes for every day

Camp Operations With Respect to COVID-19
  • As of today, we plan to offer six full weeks of Scouts BSA summer camp.
  • Governor Cooper will provide more direction regarding the operations of overnight summer camps on May 22.
  • I anticipate that we will have more information to share the week following Memorial Day.
  • Information will be sent to unit contacts, posted to the camp website, and on Facebook.
 
Camp Participant at Risk Statement
Your safety and the safety of all our campers, families, unit leaders, volunteers, and staff are the Old North State Council and Cherokee Scout Reservation’s top priority. In light of COVID-19, we are taking additional precautions at camp on top of our long-established health and safety measures.
 
Camp Health Supervisor Nita Grubbs is tracking information from state and local health departments, the CDC, and the BSA to ensure we are aware of and follow their guidance to mitigate the risk of COVID-19 at camp. The American Camping Association and the Association of Camp Nursing resources guide our planning.
 
As we prepare deliver six full weeks of summer camp, our mitigation plan includes:
  • Pre-attendance education;
  • Health screening conducted by your unit prior to travel to our camp, including a temperature check;
  • Health screening upon your arrival at camp conducted by our camp health officers, which will also include a temperature check;
    • Note:  should anyone in the unit not pass the arrival screening, the entire unit will not be allowed to enter camp. 
  • Limits on visitors in camp;
    • All visitors will be screened upon arrival before entry to camp.
  • Hygiene reminders throughout camp experience;
  • Extra handwashing /sanitizer stations throughout camp;
  • Dedicated staff to clean and disinfect high-touch surfaces and shared program equipment;
  • Adjusting our processes and procedures for meals, flag ceremonies, and campfires to support and enforce social distancing; and,
  • An emergency response plan that includes isolation and quarantine protocol should a person at camp develop symptoms of COVID-19 or other communicable diseases.
 
These precautions are important, but they do not remove the potential for exposure to COVID-19 or any other illness while at camp. Some people with COVID-19 show no signs or symptoms of illness but can still spread the virus, and people may be contagious before their symptoms occur. These factors mean that an infected person may pass the required health screenings and be allowed into camp.
 
We also know the very nature of camp makes social distancing difficult in many situations and impossible in others.
 
Information from the Centers for Disease Control and Prevention (CDC) states that older adults and people of any age who have serious underlying medical conditions are at higher risk for severe illness from COVID-19. If you are in this group, please ensure you have approval from your health care provider and support of your family prior to attending camp.
 
We know that each Scouting family, unit leader, staff member, and volunteer have a unique set of circumstances to consider when deciding whether to attend camp. We hope this information will be helpful as you make those choices.
 
Remember, should we be unable to host summer camp due to federal, state, or local guidelines or if families feel unsafe sending their Scout to camp, we will provide a full refund of fees collected at that time.
 
Who Should Stay at Home During a COVID-19 Environment?
Youth and adult campers with a chronic illness or co-morbidity for COVID-19 should not attend camp this summer. The risk factors include, but are not limited to, the following:
  • Age 65 or older
  • Asthma
  • Chronic kidney disease requiring dialysis
  • Diabetes
  • Liver disease (cirrhosis, Hepatitis C)
  • Serious heart conditions
  • Severe obesity
  • Immunocompromised
    • Cancer treatment,
    • Bone marrow or organ transplantation,
    • Immune deficiencies,
    • HIV w/low CD4 cell count or not on HIV treatment, and
    • Prolonged use of corticosteroids and other immune weakening medications
  • Hemoglobin disorders (Sickle cell disease, thalassemia)
 
 
Flexibility with Annual Health and Medical Record (Camp Physical)
  • The BSA has provided flexibility regarding the annual health and medical record – commonly known as the camp physical.
  • This flexibility applies to a health camper – youth and adults.
  • A healthy camper is defined as a youth or adult who does not have any of the COVID-19 co-morbidities provided by the CDC.
  • We understand that physical exams may be difficult to obtain in some parts of the country because of COVID-19.
  • We also realize that this may present a hardship for some participants that typically schedule their physical exams prior to the camping season.
  • In light of COVID-19, the following guidance is being provided and will be in effect until August 31, 2020.
  • Note: Participants that have a valid, completed AHMR Parts A, B & C (NCAP HS-503) within 12 months of camp need no exception.
  • Participants with a Part C completed on or after February 1, 2019.
    • Validity of any Part C completed on or after February 1, 2019 is extended until August 31, 2020.
    • Update Parts A and B of the AHMR within two weeks of your departure to camp. Download here: https://www.scouting.org/health-and-safety/ahmr/
  • Participants with no Part C or one prior to February 1, 2019, including new members.
    • Attach a completed alternate exam (sports, school, annual well exam at pediatrician) completed on or after February 1, 2019.
    • This will be accepted as a valid Part C until August 31, 2020.

  • There will be no other exceptions outside these parameters.
  • If a participant does not meet the criteria above, the following are options to consider to obtain an examination:
    • Telephonic well appointment – Conducted with an individual’s existing health care provider (HCP) to complete the AHMR Part C exam and examiners signature virtually.
    • Professional or Compliance well exams - Adult participants whose profession requires regular well or compliance exams (emergency responders, pilots, etc.) may also be able to complete the exam requirements by having the conducting HCP complete Part C either during those well checks or telephonically.
    • Local Community clinic or alternative HCP - If primary HCP is unavailable, use alternatives/clinics in the local community such as alternate HCP, CVS, Rite Aid, Care Now, etc.
    • Camp well exams - Just in time delivery at front gate of a local council camp – Council organized with volunteer medical providers (MD, DO, NP, PA).
 
Swim Checks Update
  • The council will provide no pre-camp swim checks prior to summer camp for Summer 2020.
  • Check-in and arrival procedures will be adjusted to accommodate the increased demand for swim checks.
 
Memorabilia Deadline Extended to Monday, May 25
  • We will extend the memorabilia pre-order deadline to Monday, May 25
  • Pre-orders should be submitted to the web store.
  • Do not submit a pre-order to the council office on paper using a check or cash.
  • If camp is canceled, memorabilia will not be ordered and Scouts will receive a full refund.
 
Payment 3 Deadline – Thursday, May 28
  • The third and last payment is due on Thursday, May 28
  • Payment can be submitted online, via the mail with a check, or on the phone with a credit card.
  • The council office is now open for business with reduced hours (9:00 am – 4:30 pm)
  • Preferred method of payment – mail a check payable to Old North State Council, 1405 Westover Terrace, Greensboro, NC 27408​

Camp Operations
  • We continue to make plans and preparations to offer six full weeks of summer camp.
  • We continue to monitor the directives from NC Governor Cooper regarding the stay-at-home order and guidance from the state and local health officials.
 
Camp Staff Vacancies
  • We still have the following vacancies on the camp staff.
    • 5 Aquatics Instructors (16 years old or older)
    • 1 Trading Post Clerk (16 years old or older)
    • 1 Nature Instructor (16 years old or older)
  • Submit a camp staff application to bud.harrelson@scouting.org.
 
Counselor-in-Training Applications
  • Our Counselor-in-Training program is a leadership development program designed to prepare Scouts to instruct other Scouts.
  • Open to Scouts who are 14 years old or older.
  • There is no fee.
  • There are 10 positions available each week of camp.
  • We begin schedule CIT positions in mid-May.
 
Payment 2 is due Thursday, April 23
  • Scouts who paid the early bird fee owe $110.
  • Scouts who did not pay the early bird fee owe $115.

  • Option 1: The preferred method for submitting Payment 2 is via the online merit badge registration tool – Summer Camp Systems – with a credit card.
  • NOTE: Now that Scouts are enrolled in merit badges, you will select CALCULATE BALANCE and MAKE A PAYMENT from the Payment Dashboard

    • The Unit Balance Report shows you how much each Scout has paid.
    • The Transaction History show you the transactions for individual Scouts.
      • This report shows funds submitted by you and parents, credits (early birds and camperships) applied by camp, and refunds applied by camp.
      • You can use this report as a bill for families to show how much is still owed.
 
Unallocated Funds
  • This video shows you how to allocate the unallocated fund towards a Scout’s fees.
 
Transfer Funds Among Scouts
  • You can transfer funds between Scouts by using the Payment Transfer tool.
  • On the Unit User Menu, the Payment Transfer Tool can be found under the OTHER ITEMS heading.​

  • This will ensure the campership review committee has all the information necessary to review the application.
  • We will review camperships on Thursday, April 30.
  • You will receive notice of campership awards via email by Monday, May 4.
  • Camperships will be credited the Scout’s account in Summer Camp Systems on Monday, May 4.
  • Typically, we would mail families a notice of the campership award. Depending upon when the council service center reopens for operation, we may depend upon the unit leader to inform the family of the award.
  • Camperships are available to in-council and out-of-council units attending Old North State-sponsored camps.
 
Unit Memorabilia Pre-Orders
  • Unit Memorabilia Pre-orders are due Thursday, May 14.
  • Collect your unit orders using the Individual Memorabilia Order Form.

We hope that you and yours are safe and healthy and remain so throughout the COVID-19 pandemic.

We remain committed to planning and executing a dynamic and fun summer camp adventure for your Scouts and families. If this pandemic is teaching us anything, it is reminding us that we are clairvoyant and will need to remain flexible. The purpose of this email is to share with you how our council and camp operations have been impacted by the governor’s stay-at-home order and our plan to continue to serve you, and prepare for camp, while keeping everyone safe.

NC Governor Cooper’s Stay-at-Home Order and Impact on Old North State Council and Cherokee Scout Reservation Operations

  • On Friday, March 27, 2020, in an effort to reduce the spread of COVID-19, NC Governor Cooper issued an executive order requiring people statewide to stay-at-home and all nonessential businesses/non-profits to close through April 30.
  • The Old North State Council and Cherokee Scout Reservation are non-essential entities; therefore, we are closed through April 30.
  • Field staff and office staff are working from home and are available via email.
  • See the message posted on the Old North State Council homepage for more information.
  • Because no one is at the council service center to collect the mail, we have placed a temporary hold on all mail delivery. Our mail is currently held at the Greensboro Post Office and will be delivered when the stay-at-home order allows.
  • The council service center is locked. People cannot enter the building to access the drop-box.
  • We remain committed to planning and executing a fun and dynamic summer camp experience for your Scouts and families.
  • Should we be required to cancel summer camp because of CORVID-19 or a Scout is unable to attend summer camp due to a CORVID-19 related issue, we will issue full refunds.
Update on Early Bird Payments & Collection
  • Thank you for supporting 1114 Scouts to submit an early bird payment.
    • FYI, this number tracks with our three-year history of early bird payments.
    • We see this as a sign that we are all looking forward to summer camp 2020 and committed to participating!
  • All early bird payments (online credit card, mail, and over-the-counter) have been processed and applied to your unit’s account (the tracking sheet we keep in the office). Kristina Edmondson, with the help of the office support staff, was able to complete this task.
  • We have not applied the early bird discount to your unit’s account in Summer Camp Systems.
  • We will reconcile those once the council service center reopens.
  • If you need a receipt, we can respond to that request once the stay-at-home order has been lifted.
Payment 1
  • Payment 1 was due on Thursday, March 26
  • Payments that we collected before Thursday, March 26 have been applied to your unit’s account (the tracking sheet we keep in the office)
  • If you mailed a payment, which I directed many of you to do, and it did not arrive at the office by Friday, March 27, your mail is currently being held at the Greensboro Post Office and will be delivered to us once the stay-at-home order is lifted
  • If you need to submit your Payment 1, you can do so two ways:
    • Submit a credit card payment online via Summer Camp Systems
    • Call me and I will take your credit card payment over the phone using Square
  • Parents/guardians are able to submit online payments via Summer Camp Systems
  • If you need a receipt, we can respond to that request once the stay-at-home order has been lifted.
  • Credit card payments online and Square generate an immediate receipt.
Payment 2
  • Payment 2 is due on Thursday, April 23
  • You can submit your Payment 2 in two ways:
    • Submit a credit card payment online via Summer Camp Systems
    • Call me and I will take your credit card payment over the phone using Square
  • If your unit prefers to submit a check, you can mail a check payable to Old North State Council, 1405 Westover Terrace, Greensboro, NC 27408
  • The check will not be delivered until after the stay-at-home order if lifted.
  • We will process and apply to your account at that time.
  • If you need a receipt, we can respond to that request once the stay-at-home order has been lifted.
  • Credit card payments online and Square generate an immediate receipt.
Camperships
  • Campership requests are still due on Thursday, April 23.

  • Instead of submitting campership applications to the council office, please scan and email them to office@csr.camp.
  • In-council and out-of-council units may apply for camperships.
  • This will allow me to receive them, process, share with the committee, and make a decision on the campership in early May.
  • If you need to submit the $20 payment that goes along with a campership you can submit it two ways:
    • Submit a credit card payment online via Summer Camp Systems
    • Call me and I will take your credit card payment over the phone using Square
  • For campership requests that were submitted to the council service center, prior to the stay-at-home order, we have no access to them.
    • If you kept a copy, please scan and email to me at office@csr.camp.
    • If you are unable to share with me again via email, we will act on the requests once the stay-at-home order is lifted.
  • Please work with your families to ensure that the campership applications are complete upon submission.
  • Incomplete submissions slow the process down…significantly.
  • We anticipate that more families may need support as we move through the COVID-19 pandemic and economic slowdown.
  • Should you discover that a family needs financial support after the deadline, please submit a campership request. We will do our best to support these families.

Merit Badge & Activity Enrollment via Summer Camp Systems

  • Merit badge & activity enrollment begin this upcoming weekend.
  • We use Summer Camp Systems as our online merit badge & activity tool
    • http://www.summercampsystems.com/onsc/login.aspx
    • You should already have an account. If not set it up now.
  • For units attending camp Weeks 1 (June 21-27), 2 (June 28-July 4), and 3(July 5-11), we will open merit badge enrollment at 8:00 pm on Friday, April 3.
  • For units attending camp Weeks 4 (July 12-18), 5 (July 19 – 25), and 6 (July 26 – August 1), we will open merit badge enrollment at 8:00 pm on Saturday, April 4.
  • Since we are unable to access our mail or the payments submitted via the drop-box on Friday, March 27, we have no way of knowing which units have and have not made a payment that equals 60% of their campsite.
  • In fairness to everyone, all units will have access to Summer Camp Systems for merit badge enrollment starting this weekend.
  • Some best practices
    • Be sure all of your Scouts have been added to Summer Camp Systems prior to Friday, April 3.
    • This will save you valuable time once merit badge & activity enrollment begin.
    • More than one adult leader from your unit can create a unit-user account. Both of you can enroll Scouts in merit badges & activities simultaneously.
    • Use the Unit Merit Badge & Activity Form to collect the information you need from Scouts to enroll them in merit badges & activities
    • If this is your first time doing this, WATCH the help videos and READ the directions.

Memorabilia Pre-orders
  • Memorabilia pre-orders are due Thursday, May 14
  • We accept pre-orders from the unit not individuals.
  • Pre-orders should be submitted using the camp online store

The safety and health of our campers, Scouts, families, volunteer leaders, and camp staff are of the utmost importance to us.


Today, the executive officers of the Old North State Council cancelled all face-to-face Scouting activities at the unit, district, and council level through April 30. Read more about that here.


The purpose of this email is to provide an update on Cherokee Scout Reservation’s response and preparedness regarding coronavirus/CORVID-19.


The response outlined below was developed in collaboration with our health & safety committee, council physician, camp health supervisor, and the executive officers of our executive board.


Scouts BSA Summer Camp & Webelos Camp 2020
  • For now, Scouts BSA Summer Camp and Webelos Camp 2020 will occur as scheduled and planned.
  • We will continue to monitor the direction of federal and state health officials in making our plans.
  • This means some things will remain uncertain, undetermined, and unclear until the national and state-level states-of-emergency are lifted.
  • We will continue to keep you informed of our plans.


Payment Schedules
  • The payment plans will continue as scheduled.
  • We are unable to extend early bird dates out any further.
  • However, acknowledging people’s personal budgets may become tight in the coming weeks and months, we will not enforce the late payment deadline.
  • However, for us to have an accurate headcount and allow us to best plan, it is important that units and families submit their payments.
  • Scouts BSA Payment Dates
    • Early Bird – Thursday, March 19
    • Payment 1 – Thursday, March 26
    • Payment 2 – Thursday, April 23
    • Payment 3 – Thursday, May 28
  • Webelos Payment Dates
    • Early Bird – Wednesday, March 25
    • Payment 1 – Wednesday, April 8
    • Payment 2 – Wednesday, May 13


Payment Methods
  • For Scouts BSA Summer Camp, the preferred method of payment is online using the merit badge enrollment tool – Summer Camp Systems.
  • For Scouts BSA Summer Camp and Webelos Camp,
    • You are no longer able to pay face-to-face as the customer service counter at the council office is closed to the public until April 30.
    • You may submit checks payable to Old North State Council, 1405 Westover Terrace, Greensboro, NC 27408
      • Include a note with unit type, unit number, and week of camp.
    • During this time, we will accept credit card payments over the phone (336-378-9166).


Refunds
  • Should we not have summer camp due to coronavirus we will issue full refunds.
  • Should someone not be able to attend summer camp because of a coronavirus issue we will provide a full refund.
  • Otherwise, the refund policy remains in place.


Camperships
  • For Scouts BSA Summer Camp, the campership deadline remains Thursday, April 23.
  • For Webelos Summer Camp, the campership deadline remains, Wednesday, April 8.
  • Should you discover a Scout/family has a need for a campership after the deadline, please contact me.


Rescheduling Out-of-Council/Out-of-State Units
  • Should your state’s school end-of-year dates, prevention plans, et cetera, inhibit your unit from participating in Scouts BSA Summer Camp early in the summer, we encourage you to modify your reservation for later in the summer.
  • Before cancelling your plans to attend summer camp, please contact me to discuss options.


Check-in Procedures Modifications
  • For several years, the BSA has provide a pre-event medical checklist for unit leaders to use prior to departing for a Scouting event with the unit.
  • It has been a recommended practice.
  • For Scouts BSA Summer Camp and Webelos Summer Camp, we will require unit leaders complete the checklist and take Scouts and unit leaders’ temperatures prior to departing for Cherokee.
  • We will conduct the pre-event checklist again upon the unit’s arrival at camp.
  • We will take temperatures, for Scouts BSA and Webelos and adults, upon arrival at camp.
  • We have adapted the checklist to include questions specific to coronavirus.
  • It is available under forms on the Scouts BSA and Webelos portions of the https://www.csr.camp/ website.


Communicable Disease + Epidemic + Pandemic Plan
  • As part of the BSA National Camp Accreditation Program (NCAP), we must have a standard operating procedure for communicable diseases.
  • With input from the health and safety committee, council physician, and camp health supervisor, we have updated the communicable disease standard operating procedure to address epidemics and pandemics, specifically coronavirus.
  • Our health lodge protocols are reviewed and updated annually based upon the latest research and best practices
  • In addition to following directions from the Center for Disease Control and Prevention and state health officials, we follow guidance from the American Association of Camp Nurses and the American Camping Association.


Camp Physical Clinic
  • The Camp Physical Clinic, scheduled for Saturday, March 28 is cancelled.
  • We will reschedule.

Pre-Camp Swim Checks
  • The pre-camp swim check scheduled for Sunday, April 26 at Orange County Sportsplex, Hillsborough is cancelled.
  • The pre-camp swim check scheduled for Sunday, April 26 at Bryan Family YMCA, Greensboro is cancelled.
  • I anticipate that the pre-camp swim check scheduled for Saturday, May 9 at the Reidsville YMCA will be cancelled as it falls within the 8-week window recommended by federal and state officials for the quarantine.
  • We will follow the direction of our pre-camp swim check location hosts and the guidance from federal and state officials regarding swim checks in late May and early June.
  • I doubt we will be able to reschedule pre-camp swim checks.
  • We will develop a plan to address the need of pre-camp swim checks but it may mean units coming to CSR during twilight or Saturdays during camp to complete them.
  • It may also mean starting Sunday check-in earlier to accommodate the pre-camp swim check demand.
  • Regardless, we will all need to be flexible with regard to the new, undetermined pre-camp swim check plan.


Unit Memorabilia Orders
  • For Scouts BSA Summer Camp, memorabilia orders are still due on Thursday, May 14.
  • For Webelos Summer Camp, memorabilia orders are still due on Wednesday, May 13.


Scouts BSA Summer Camp Specific Items
  • Merit badge and activity enrollment will continue as scheduled – Friday, April 3 and Saturday, April 4.


Webelos Summer Camp Specific Items
  • The Den Adventure Request Form is still due on Wednesday, May 13.
  • The Family & Visitors Night Hero Invitation Form is still due on Wednesday, May 13.
